CBE is looking for a full-time Synagogue Administrator to serve as the welcoming face of CBE to all who contact or visit the Synagogue. The Synagogue Administrator provides administrative support to the Rabbi, Cantor, Education Director, and lay leaders to enable the smooth delivery of the Synagogue’s activities. The candidate must demonstrate exceptional initiative and efficiency, strong interpersonal and communication skills, and possess the highest level of integrity. The Synagogue Administrator will be privy to sensitive information about CBE’s business, operations, its employees, and its members and must be able to maintain confidentiality.
Job Duties:
The Synagogue Administrator is a full-time, hourly (nonexempt) CBE employee, reporting to the congregation’s Rabbi and liaising on a daily basis with CBE’s Cantor, Education Director and Preschool director. This role also provides support to CBE’s Board of Directors, and CBE committee leaders. As the on-site point person for congregants, vendors, service providers, and visitors to the synagogue, the role is required to be in the office during CBE’s office hours on Monday through Friday, with some flexibility. The general job duties are as follows:
Office Management - Provide general office coverage such as handling phone calls, e-mail, and mail; handling office supplies, operation of office systems, maintaining CBE’s files, helping to develop and implement office related policies and managing an administrative budget.
Membership Engagement - Administer CBE’s membership processes in coordination with the VP of Membership, engage with prospective and current members, manage membership information in Synagogue software (i.e., ShulCloud), prepare weekly announcements for services and review certain CBE communications as needed.
Program Coordination and Calendar Management - Work closely with clergy, other staff, and lay leaders to manage the Synagogue calendar, help facilitate meetings, events (including management of Zoom licenses and links), temple services, life-cycle events, and celebrations, which may require being on-site at times (including occasional nights and weekends).
Facilities Operation and Management – Collaborate with lay leadership to oversee and coordinate the Synagogue's day-to-day operational tasks or projects, including (without limitation) building maintenance workers, (e.g., custodial staff, repair and maintenance contractors), supporting special projects, and collaborating with clergy, staff and lay leadership to develop and implement synagogue building policies.
Bereavements, Burial and Yahrzeits (anniversary of a person’s death) – Manage various stages of the bereavement-related processes, including liaising with clergy and the bereaved families to ensure proper services, shiva and other related ritual requirements.
Finance – Play a critical role in the financial processes of CBE, including processing payroll, tracking and processing payments and donations made to CBE, facilitating payment of invoices by Controller, and making weekly bank deposits.
Qualifications:
- Independent worker who has administrative experience in a busy office environment
- Strong IT skills, including advanced knowledge of Microsoft Excel and Word, Google applications, and Zoom
- Excellent organizational and communication skills
- Outstanding interpersonal skills, including a sense of humor, a positive ‘can-do’ attitude, a warm personal manner, and a patient and calm approach in difficult situations
- Ability and willingness to undertake a wide range of tasks; flexibility in approach to work; and an ability to work as an integral part of the team
Desirable:
- Good knowledge of the workings of a Synagogue and Jewish life cycle events
- Experience working in a non-profit with heavy volunteer involvement
- Experience with (ShulCloud) CRM
Compensation & Benefits:
- Compensation - $25-$33/hour, depending on experience
- Health insurance available as of July 1, 2023
